Managing a global SME like Hyva is exciting and challenging. To support Hyva’s CIO in his leading role, this very interesting job in Malaysia has arisen for an Executive Assistant to Chief Information Officer.  As his business PA, you have the opportunity to act as his 'sparring partner' and as a 'project manager' in managing all the CIO's global leadership activities. It is therefore a 'business assistant to' role in which you will work alongside the CIO to ensure that the global functional process reviews are well managed. Please keep in mind that this is a leadership support role that requires a high level of business (finance) acumen! With a “helicopter overview” you will monitor open items across various functions. You know what to do to ensure that all action points are followed as per agreed deadlines.

The CIO is based in Hong Kong, he is sharing his time between Asia and the Netherlands. Do you have more than 5 years experience in an international business (finance) role, preferably in a global manufacturing or tech based company? Are you interested in making your next step in a successful SME, in a pivotal role with (in)direct impact by supporting the CIO?

 

WHAT WOULD BE YOUR KEY RESPONSIBILITIES?

  • Provides support to the CIO in all management activities, having “helicopter overview” of open items within the Company across all functions;

  • Coordinates preparation of materials for shareholder meetings (Budget, Remco & Audit, Strategic Business Planning, Performance Review, Program/Project overview etc.);

  • Works alongside the CIO to manage functional process reviews (manufacturing, product management, logistics, procurement, marketing, sales and after sales, etc.);

  • Assists in agenda preparation and follows up on agreed actions during functional process review;

  • Manages the Global IT Budget; and IT Procurement process;

  • Manages projects on behalf of the CIO;

  • Coordinates, monitors and drives project activities, manages project risks, issues and takes corrective actions when necessary;

  •  Ensures all stakeholders and responsible parties are aligned in targets of identified tasks;

  • Coordinates and ensures actions from various meetings are completed effectively without any delay;

  • Plans, coordinates and ensures the CIO’s schedule is followed and respected;

  • Provides “gatekeeper” and “gateway“ role to the CIO’s time and office;

  • Works closely and effectively with the CIO to keep the CIO well informed of upcoming commitments and responsibilities;

  • Manages conflicting priorities, handles matters expeditiously, proactively and follows-through on projects to successful completion

REQUIREMENTS:

  • Microsoft Office package (advance Power Point, proficient in Excel)
  • Knowledge of Project Management Platforms 
  • Project Management Experience
  • Strong finance acumen and good analytical skills are a plus
  • Pressure resilient , can handle multiple ever-changing priorities, working in fast moving organization
  • Excellent communication and stakeholder management skills
