We are looking for a Receptionist to join our Company. 

You will act as the first point of contact at Hyva and you will ensure correct handling of incoming and outgoing correspondence, welcome visitors and offer administrative support for various departments. 

Main characteristic of the role:

  • Answers, screens and forwards incoming phone calls; 
  • Takes messages and ensures they are passed on to the appropriate parties; 
  • Receives, sorts and distributes daily mail and deliveries;  
  • Takes care of the dispatch of small packages; 
  • Receives visitors at the front desk by greeting, welcoming, directing and announcing them appropriately; 
  • Maintains office security by following safety procedures and controlling access via the reception desk; 
  • Ensures reception area and meeting rooms is tidy and presentable, with all necessary stationery and materials (e.g. pens, brochures etc.); 
  • Performs other reception duties such as filing and photocopying; 
  • Performs supporting administrative duties for various departments;
  • Organizes events, books meeting rooms and manages hotel and work lunches requests;
  • Manages company cars reservations;
  • Assists HR Department in distributing materials to employees (welfare tickets, Christmas gift, work clothing…);
  • Manages stationery orders for all the offices;
  • Supports training organization.

Requirements:

  • Professional Experience: 4+ years
  • English fluent in spoken and written
  • Excellent communication and organizational skills
